How to connect Atoa and Xero for instant invoice payments

Swap expensive card fees and slow bank transfers to get paid instantly from your customers' UK bank accounts. Our Xero integration takes under a minute to set up and helps get invoices paid faster for better cash flow control. What is a Xero invoice? Xero is a cloud-based accounting software that can be used to create customised invoices in seconds, which you can send to customers in a few clicks. Atoa is an official partner of Xero, and our integration is certified by Xero. How do I sign up for Xero? Head to Xero.com and click the "Try Xero for Free" button to start a 30-day free trial. Fill in your details, agree to the terms, and Xero will send you a confirmation email to get things rolling. Just click the link, set a password, and you're one step closer to sending invoices. Enter your business details and click "Start Trial" to finish. How do I sign up for Atoa? Head to our website and click the "Start 7-day free trial" button to get a week of free payments with no contracts or sneaky stuff. You'll be asked to provide details a few quick business and personal details, which should take no more than a few minutes. You'll also need to connect a bank account to receive payments. How does Atoa work with Xero? To start accepting instant payments, the business creates an Atoa account, links a bank account and connects Xero. They create an invoice and a ‘Pay now’ button appears which clients click to pay from their bank account using Atoa. The customer clicks the button from their phone or laptop, which takes them to a secure payment page. How customers pay with their smartphone - Customers scan the QR code which opens a webpage on their phone screen. Here, they select their bank and confirm the payment from their personal or business banking app using a fingerprint scan or face ID. The funds are instantly transferred to the business's bank account. How customers pay on their computer - Customers click the “Continue on this Device” button, select their bank and authorise the payment from their personal or business internet banking website. The funds are instantly transferred to the business's bank account. I’m a Xero customer, how do I connect my account with Atoa? Connecting your accounts to accept instant invoice payments is super easy and only takes 30 seconds. On the Atoa dashboard, head to “My Account” and click the “Integrations” tab directly. Select “Connect to Xero.”  Atoa will ask you for access to your Xero account and to confirm the bank where your Xero invoice payments will be made. Now you can create invoices directly in Xero and get paid instantly with Atoa. How much does it cost to connect to Xero? Connecting Xero with Atoa costs a tiny 0.7%  per transaction, plus a 10p fee. We're up to 60% cheaper than leading card payment providers. If you're already using  Atoa, you will enjoy your current rate with a small 10p Xero fee added on. How do customers pay with Atoa? There are two ways customers can pay with Atoa: Pay by Bank App (preferred) or online banking. Pay by Bank App (preferred) - Scan, pay, done. Your customer scans the QR code, sees the bill, picks their UK bank app, and pays. You get a notification from Atoa saying your payment has landed in your account. The payment is automatically reconciled with Xero. No phone? No worries. Your customer can skip the QR code and click "Continue on this device". They choose their bank and are then redirected to their internet banking to securely approve payment. You get a notification from Atoa about the payment landing in your bank account and the payment is instantly synced with your Xero account. How to install the Atoa app or dashboard - Go to your Epos Now back office and click on the three-line hamburger icon. This opens Settings, then under Payments, enable the Pay button on the device. - Then go back to System and you’ll see that the Atoa app isn’t installed yet, which is why nothing is showing here. When you look at the till interface, you can see options like cash and debit card, but no Atoa payment option—because the app hasn’t been installed yet. - Find the App Store and search for Atoa. If you can't find it, we'll provide a link you can paste into your browser. - Click "Get Free App" and choose the store location to connect with Atoa. - If you have multiple stores, you can select them all or just one at a time. - Click "Set up App" which will take you to Atoa's dashboard to finish the setup. - You'll also get an email with instructions on how to link your Epos Now system to Atoa and start taking payments. - On Atoa's dashboard, click "Start Set up." If you're new to Atoa, sign up first. If you already have an Atoa account, the setup is quick. - Check that your Epos Now location and Atoa location match. If you have multiple stores, you can link your Epos Now locations to the corresponding location in Atoa. This way, all your transactions go to the right place. For example, if your business has two Epos Now locations, you'd create two locations in Atoa and then match them up in Epos Now. - Click "Order QR" to get your QR code stands. Finally, you can order a special Atoa QR code stand that works with your Epos Now system. How to use your QR stand with Epos Now - Once your QR stands arrive, place one at each till. - In Epos Now, go to "Settings" > "Additional" to check the Atoa app is switched on. - When you're ready to accept payments you'll see "Atoa" as an option on the POS screen. That's it! You're ready to start accepting payments with Atoa. How to Connect QuickBooks with Your Atoa Account

Connecting your QuickBooks account to Atoa is a great way to simplify how you send invoices and keep track of payments. Here’s how to get started, step by step. Step 1: Access integrations in Atoa 1. Log in to your Atoa dashboard. If you’re new to Atoa, you can sign up in just a few minutes. 2. From the left-hand menu, click on Settings. 3. Select Integrations from the submenu. 4. Find QuickBooks and click Set up now. 5. Click the green Connect to QuickBooks button in the top-right corner. Note: If you're already logged into QuickBooks, the connection will start right away. If not, you’ll be asked to log in and verify your account using an OTP for security. Step 2: Authorise and configure QuickBooks 1. QuickBooks will ask you to authorise Atoa’s access — click Connect. 2. Choose the business you want to link to QuickBooks. - If you only have one business, this step will be skipped. - If you manage multiple businesses or locations, you’ll be asked to confirm which store you want to connect. 3. Atoa will display your linked bank accounts. In QuickBooks, choose how to treat your payments: Option 1: Treat as deposits - Creates a dedicated account in QuickBooks to log all Atoa transactions. - Your accountant can reconcile later using the bank feed. Option 2: Treat as undeposited funds - Stores transactions as undeposited funds. - Ideal if you prefer to reconcile payments later. Choose the option that best suits your accounting workflow. Step 3: Create and send invoices in QuickBooks Once your integration is active, here’s how to create an invoice with Atoa embedded: 1. In QuickBooks, click Create Invoice. 2. Select the customer you want to invoice. 3. Fill in the details — due date, product/service, description, and amount. 4. Click Save and send to preview the email. 5. When ready, click Send and close. Your customer will receive: - An invoice email with an Atoa payment link - A PDF version of the invoice (also with the payment link) Step 4: Customer payment flow When your customer clicks the Atoa payment link: - They’ll be redirected to their mobile banking app to complete the payment securely. - If they’re using a desktop, they can either: - Continue on their phone, or - Scan a QR code to pay from their mobile device. Once the payment is successful: - In Atoa, you’ll see the payment details with the source marked as QuickBooks. - In QuickBooks, the invoice status will automatically update to Paid, and the transaction will be marked as deposited. And there you have it. Your QuickBooks and Atoa accounts are now connected and ready to help you simplify your invoicing and payments. FAQs Do I need a specific QuickBooks plan to use this integration? You’ll need an active QuickBooks Online account. QuickBooks Desktop is not currently supported. What happens if I disconnect QuickBooks from Atoa? You’ll stop seeing Atoa payment links on your QuickBooks invoices, and payment updates will no longer sync between the two platforms. Past payment data will remain intact. Can I still accept payments if QuickBooks is disconnected? Yes, you can still accept payments through Atoa directly, but invoices created in QuickBooks won’t automatically include Atoa payment links or sync payment status. Where can I see the source of a payment in Atoa? Go to the Payments section of your Atoa dashboard. Payments that came through a QuickBooks invoice will be labelled with “QuickBooks” as the source. How to connect Atoa with your Shopify account

Integrating Atoa with your Shopify store lets your customers pay you directly through their bank app, quickly, securely, and without card fees. Follow these steps to get set up. Step 1: Begin the setup from Atoa Go to Settings from the left-hand menu on your Atoa dashboard. Click on the Integrations tab. - Under the Shopify option, click Set up now. - Then click Go to Shopify. This will take you to the Shopify App Store. - Click Install to add the Atoa Payments app to your Shopify store. If you’re not already logged into your Shopify account, you’ll be prompted to sign in first. Note: If you don’t have the Payouts feature enabled yet, you’ll see a Contact us button instead of Go to Shopify. Our team will get in touch and enable end-of-day Payouts for your account. Once that’s done, we’ll share the Shopify installation link with you. Step 2: Complete the installation in Shopify - Once installed, you’ll be taken to your Shopify dashboard. A pop-up will appear asking you to install the Atoa Payments app. Click Install. - The app will now appear under Apps and sales channels in your Shopify dashboard. Step 3: Connect Atoa with Shopify - You’ll be redirected back to your Atoa dashboard, where a pop-up will appear. Tick the consent box and click I understand to authorise the connection. - If you manage multiple Shopify stores, you’ll be asked to choose which one to connect. Step 4: Activate Atoa Payments in Shopify - You’ll be redirected again to Shopify, specifically to the Atoa Payments section under Payments. - Click Activate to complete the setup. - Atoa Payments will now appear under Supported Payment Methods in your Shopify Payments settings. That’s it! Your customers will now be able to pay using open banking through Atoa. At checkout, they’ll see a QR code which they can scan to complete the payment using their banking app. How to check if I’ve received a Shopify payment? - Click on the notifications bell icon on the top right of your Atoa dashboard, or - Go to Payments from the left-hand menu. Look for transactions labelled Shopify under the Source column. - Click on the transaction to view full payment details. How do I issue a refund? - In your Atoa dashboard, go to Payments and click on the relevant transaction. Then click on either the Payment ID or the Refund button. - This will take you to your Shopify Orders page. - Select the order and click Refund at the top of the page. Choose the items to refund and click the final Refund button on the right to confirm. - The refund timeline will appear below, and the status will update in both Shopify and your Atoa dashboard. How do I disconnect Atoa from Shopify? - In the Atoa dashboard, go to Settings > Integrations. - Under Shopify, click Manage, then click Disconnect. - Confirm the disconnection by clicking Disconnect again on the pop-up.
